Special notes for December

DQB 1.77 is ready

DQB 1.77 was originally planned for release this summer but several critical projects needed to be addressed and developed first.  One was the Crowd Strike error that affected Windows worldwide including many of our users of QuickBooks. Next were siginficant changes in QuickBooks Online that affected sales taxation and batch invoicing.   Next was the new requirement for security certificates for those using QuickBooks 2024 subscriptons with integrated applications such as DentaLab for QuickBooks. Most recent was much more complex internet security measures required by Intuit for those synchronizing with the online versions.

Here it is at last, posted on our website and ready for you to call for the download authorizaton codes.   Highlights of the release are in the article below.  The full release document is posted on our website. 

IMPORTANT NOTICES FROM INTUIT  

As of October 1, 2024  new subscriptions will be available only for QuickBooks Enterprise or one of the online versions.  If you already have licensed a Pro or Premier version, you may continue to use it.    Those with Plus subscriptioons will need to renew annually.  

More complex internet security measues have been introduced for both the desktop/in-house and the online versions.  As part of the  funding from DQB service agreements, we  have programmed and tested these measues.  Individuall support will be recorded in your timeslips.  

For those using QuickBooks Pro, Premier or Enterprise and updating to 2024, here are some significant changes:  

Releases will be quarterly rather than annually and will be authomatic with your subscription.   There will no longer be annual versions announced.  

You can continue to use the F2 key for details on your license.  The latest version is called R7 June 2024.

When synchronizing with a 3rd party application such as DentaLab for QuickBooks, you will need to be issued a security certificate.  Our tech support has created this certificate and a standard protocol to meet this requirement.   When your update has been scheduled,  it is best to contact us so that we can coordinate to take care of this for you.

To answer your questions....

Q:  Us there a way to begin a new price level with a copy of an already existing one? 

A:  Yes, this can often save a lot of time when setting up similar but not identical price levels.  First in Basic Lists/Price Levels you select the price level to highlight it in the grid, then to to the Action Menu on the bottom left and click Make Copy of Selected.   The new price level will be displayed with the same name prefixed by Copy of.  Typically you would change this name, then go to the grid to add or delet items, then assign to one or more customers. 

From the Action Menu, you can print a price level to help guide your changes or to issue to your customer.  In the grid, you can click the Item column header if you want to sort the list to more easily find the items to be edited.  

Q:  Shoul the amounts in the QuickBooks sales by customer reports match the ones in DQB?

A:  Yes, with these caveats:

  • If you have sales for services or products other than cases, these woulld not be in DQB.  
  • If you make adjustments to case invoices in QuickBooks, these would not be in DQB.  We recommend that case invoices be created and adjusted only in DQB.  
  • The QuickBooks sales report must use the accrual basis (rather than cash basis) and be for the same date period as DQB.

Q:  We have been using the starter version but would like to start receiving digital files directly into DQB.   What would be involved to do this?

A:  We would recommend that you upgrade to the standard version, then add the DQB Images/Digital Files supplement and implement the DentalRx web portal to receive the digital files diectly into the case.   This trio has become the most popular configuration, providing many conveniences and benefits both to the lab and to the dental offices.  In additon to receiving digital files via the portal, you can also capture digital images in house with a scanner and/or camera.

All of the features you have in the starter version continue.   You can request a copy of the white papers on these extra services for more details.   Our tech support can also answer any questions you have and provide guidance.    

      With the same look and feel of QuickBooks.

Limiting access to financials

Both QuickBooks and DQB provide ways to limit access to financial information.  

In QuickBooks settings you can choose the security features and then through the logins and passwords you use to identify users, limit access to specific parts of the software.  You can also setup specific user roles. QuickBooks also provides optonal features for you to provide your customers with the ability to review their transactions and post payments online.  We recommend for the basic QuickBooks tables such as customers and items/prices that you limit access to a small number of trusted employees.

In DQB Standard, the Options and Settings, you can choose Security for the broad categories such as limiting access only to Case Entry and within a set choose the features to limit access to financials.  You can also choose to set up User Roles for more specific detailed access you want to grant to a user. 

Note that the DQB Standard dashboard and the DentalRx web portal are limited to case-related activities and do not include financial information.

DQBOE Online Sales Taxation, Batch Invoicing, Security Measures

Siginficant changes in QuickBooks Online that affected sales taxation and batch invoicing required adjustments in DQBOE.   In addition more complex internet security measures were required by Intuit for those synchronizing with the online versions.

DQB Security Certificates for QuickBooks 2024 Desktop Subscriptions

Intuit required new security certificates for those using QuickBooks 2024 subscriptions with integrated applications such as DentaLab for QuickBooks.

DQB Options/ Case Settings

Previously when checking for the inactive customer alert, the number of months of inactivity was automatically set to 6. An option has been added for the user to enter the number of months of inactivity. The default number of months will be 6.

DQB Params and SQL Updates

Two new features were added to hopefully address older stations compatibility with Microsoft SQL Server.

1) A new check on the parameters file which stores part of the SQL server connection string.

2) This update uses a new SQL Server network search feature just released by Microsoft.
