Also in April....

The April release for DentaLab for QuickBooks has been posted on our website in the Support section. Also in this section is the full list of updates included. The most eagerly awaited changes seem to be doctor preferences by item and the new set of sales reports. For those interested in keeping up good communication with your customers, the new activity logs will be very useful in keeping your efforts organized and your followups on time.

Those with an up-to-date service agreement can call in for the authorization codes to download. If you have not been updating regularly, go to the top taskbar, then Help and About to check your release version before calling. You should be at Version 1.17 before the download, then 1.18 afterward.

Frequently Asked Questions

Q: Can you have a number of DQB cases on one QB invoice?

A: No, from one case there is just one invoice generated to stay in accordance with sound accounting practices. What you can do, however, is choose not to print the individual invoices, but rather to send a QB report showing all the case invoices being sent in one shipment. To do this, go to the Report Center, then choose either Detailed or Summary Transactions or Open Invoices from the Receivables set. Modify the report to select one customer, for a specific date or date range, and which fields you want to show on the report. You can even change the title of the report, if you wish. This will condense a number of case invoices to just one or two sheets of paper, depending on the number and length of the invoices.

Q: We have designed a great QB invoice template for ourselves....how do we make this the default for our case invoices?

A: There are two ways to achieve this that can be used together or separately. Either from Lists, then Templates or from the Invoice screen/Customize Templates icon, for each extra invoice template you do not plan to use, go to Additional Customization and check the box to make it Inactive. In addition, keep in mind that QB will place at the top of the selection list for templates the one last used for either individual or batch invoice printing.

For the July release of DentaLab for QuickBooks, we will be adding several new searches in the Find section of the Case List:

  • By Case Stage
  • By Case Type
  • Entry By

Please let us know if there are still other searches you would want to add.

In the March release, we added activity logs for customers, with entry from the Customer List and searches by entry date range, alert date range with optional specification of a full or partial topic. This was the first step toward a more complete Customer Manager set for communication and marketing. Some of the recommended topics included marketing, quality control and billing issues.

We will be adding a search by alert date range (to cover all customers) plus an optional topic. We are also working on new methods to simplify sending newsletters and other messages to chosen email lists. We hope you will find these useful in your efforts to keep up your communications, to build your business and to retain existing customers. We are in the early stages of development, so please send in any suggestions you might have at this time.

Flexible Fields

Along the way, many labs have developed their own unique ways of keeping track of various things and ask us if DQB can somehow accommodate these. Built in to the system are a number of memo areas that provide for whatever entries you want to record. Some of these in the case records include: case memo, short memo, item notes, doctor preferences by work center and by item, case plans.

In addition to these, you can make use of some of other fields that are flexible in nature. For instance, if you do not use the pan code for pre-coded pans, you can use it for another purpose and search for it in the Find area. You can append patient names with other information and then use the Find, checking the box to search anywhere in the field. For information that is chosen from selection lists, such as case stages, case types, lab notes, and doctor materials, you can add whatever selections you wish.

If you do choose to use any of these flexible fields in an alternate way, be sure to train your personnel on this and add it to your training documentation for future employees.
